Tender Coordinator

For Saudi national only
Job Description
•Interpret client's enquiry documents, and draft formal tender responses as specified. 
•Review ‘Invitation to Tender’ and create tender summary sheet with due dates and coordinate this process 
•Create and distribute tender action matrix, emphasizing input required from each department/ team member 
•Create, update and distribute a weekly tender status document 
•Set-up, administer and update tender folders and control related documents 
•Schedule, coordinate and minute bid kick off / weekly review meetings 
•Review tender requirements and communicate specification to all team members 
•Ensure clients tender requirements are met 
•Prepare non-technical tender requirements with the assistance of tendering team, such as organization charts, resources schedules, submitting license, filling in clients’ questionnaires, etc. 
•Keep up to date with tender addenda, distribute new addenda to concerned parties and ensure any new requirements are being met 
•Review and monitor status to ensure tender responses are being fulfilled in a timely manner 
•Compile, print and dispatch response document. 
•Compile and control office copies of all tenders, hard and soft copies. Ensure availability for review at any time by management. 
•Obtain relevant Bid signatories by concerned parties 
•Ensure tender deadlines are met 
•Distribute and maintain the Clarification Registers 
•Support other members of the tendering team as required 
•Assistance in the preparation of prequalification documents. 
•Day to day secretarial duties to the tendering department
Skills
•Bachelor’s Degree in Business related discipline 
•Excellent command of MS Office, with special regard to Excel. 
• Accuracy and attention to detail. 
•Excellent time management skills 
•Extremely organized, able to manage multiple activities at any given time 
•Capability to prioritize tasks, tenders and activities to achieve best outcomes. 
•Excellent English communication skills, both verbal and written, internally and externally. 
•Flexibility in working hours. 
•Background in tendering is preferable, but not mandatory.
Required experience
Two years’ experience as minimum.
